Your law, your interest

Your contract is usually governed by your German or Austrian law; best to state that in your quote and your terms. For business clients, German law gives you 9 percentage points above the base rate, so 10.52% for the second half of 2026, plus a EUR 40 flat fee. Austrian law gives you 9.2 points, so 10.73%, also with EUR 40. The late-payment interest calculator works out the exact amount.

The three templates

Pick where your business is based, Germany or Austria, above each template: the rate, the law and the flat fee are already filled in. You only replace the bracketed placeholders.

Stage 3: Final notice

Flat fee for recovery costs: EUR 40.00
Total now due: [EUR / CZK] [total]

Please transfer the total to IBAN [IBAN] by [date]. If we have not received payment by then, we will hand the claim over for collection, and any further costs will be added to your account.

What is different with clients in Czechia

  • 30 days from receipt of the invoice. If nothing is agreed, a Czech business client pays 30 days after receiving the invoice. More than 60 days only works if you expressly agree on it and it does not put you at a particular disadvantage. Send the invoice by email so the start date is easy to prove.
  • Koruna or euro. Czechia pays in koruna (CZK), not euros. An invoice in euros is simpler for you: the transfer goes by SEPA and the exchange-rate risk sits with your client. If they pay in koruna, a bank converts the amount, often for a fee.
  • VAT ID starting with CZ. The Czech number is CZ plus 8 to 10 digits, usually 8 for companies. With the reverse-charge note in the reminder, your client's accounts team matches the invoice at once.
  • Titles belong in the greeting. In Czechia, academic titles such as Ing. or Mgr. often appear in email signatures. Use them: "Dear Ing. Novák" comes across as attentive, not stiff.
  • Give a real date. "As soon as possible" goes nowhere. A date with at least 7 days' notice in the second reminder and the final notice is clear and leaves your client time for their payment run.

Frequently asked questions

Can I send a client in Czechia a payment reminder in English?

Yes. If you have been writing to each other in English, an English reminder is the natural choice. What matters is that it is clear: invoice number, amount with currency, deadline and bank details.

How much interest can I charge?

Under German law 10.52% a year, under Austrian law 10.73%. On top comes a EUR 40 flat fee (as of the second half of 2026). If your contract uses your client's law, their rules apply.

What payment terms are usual in Czechia?

30 days from receipt of the invoice if nothing is agreed. More than 60 days only works if expressly agreed.

How long does a payment from Czechia take?

A euro transfer by SEPA usually arrives the next business day. Payments in koruna go through the banks' conversion and can take longer.
