Journey · From hours to invoice
A week of hours becomes a sent invoice. No copying between tools.
Track your time, review the week and add the open hours to an invoice at the client's rate. Backbone checks the details and you press send.
7-day trial, card required. €0.00 due today.
Less to carry from one tool to the next. What changes when time and invoices live in the same place.
| Topic | Today | With Backbone |
|---|---|---|
| Tracking | A timer app or a note on your phone | A timer in the top bar, manual entries, or one sentence to the chat |
| Reviewing the week | Export a CSV and add it up | A week view with totals, for you or the whole team |
| Invoice lines | Copy hours and rates into a template | Add hours from Time: lines at the client's rate |
| Billed twice or never | Remember what you already invoiced | Hours are marked as invoiced the moment they are on an invoice |
| Mandatory details | Check them yourself | Checked while you write (§ 11 UStG, § 14 UStG) |
| Sending | Export the PDF, open your mail, attach it | Create and send from the same page |
Five steps, one place. From the first minute tracked to the sent invoice.
- 1
Track, however you work
Start the timer from the top bar, log an entry afterwards, or tell the chat what you did. Stop asks for client, project and description, so every entry already knows its client.
Time
- 2
Review the week
Switch between Me and Team, check the week total against the target and see how much of a client's budget is used before you invoice.
Time › Week, Clients
- 3
Add hours from Time
On a new invoice, one click lists the open hours of the client. Tick what belongs on this invoice and they become lines at the client's rate.

Check before it goes out
While you write, Backbone checks the mandatory details and lists what is missing, with a one-click fix. You decide whether to send anyway.

Create and send
The invoice gets the next gap-free number and goes out with the PDF attached. Or schedule it, or make it recurring.

Draft the September invoice for Kinetik Studio from my hours.
It's a draft. Nothing goes out until you issue it.
Or just ask. The same journey from the chat.
Billy in the app and the connector for your AI tool run the same functions with the same rules. Billy drafts; sending waits for your OK.
Set up in ten minutes. Four things, once.
- Add the client with its hourly rate and billing details
- Add your company details: legal name, address, VAT ID and IBAN
- Start a timer on a project and stop it
- Create an invoice and press Add hours from Time
Gap-free numbers
The invoice number is assigned when the invoice is created, in order, with no holes.
Mandatory details checked
Missing VAT ID, service date or client address show up before you send (§ 11 UStG, § 14 UStG).
Sent means final
An issued invoice isn't edited silently. A change creates a credit note and, if you like, a corrected copy.
From hours to invoice: questions
Yes. Add hours from Time lists the open hours of the client and you tick the ones that belong on this invoice. The rest stay open for the next one.
They are marked as invoiced and linked to the invoice line, so they no longer show up as open and can't be billed twice.
The hourly rate saved on the client. You can change any line on the invoice page before you send it.
Hours inside the month's target count as covered by the retainer. Hours above it are offered as over-retainer hours that you can bill extra. Add hours from Time works for retainer clients too.
Yes. Ask your AI tool or Billy to draft the invoice from this month's hours. You get a draft; nothing is sent until you say so.
Yes. It checks the mandatory details for Austrian and German invoices (§ 11 UStG and § 14 UStG) and tells you what is missing. It warns, it does not block, and your tax adviser stays the right person for tax questions.
