Backbone for bookkeepers
Get matched, named files every month. Stop chasing clients for receipts and statements.
If your client uses Backbone, month end is one ZIP or a login of your own: sent invoices, matched receipts, statements and a list of what is still missing.
You do not need to buy anything. Your client invites you; the Bookkeeper role is free for them, one per workspace.
Sound familiar? Month end is when you find out what the client forgot.
Receipts arrive as photos, screenshots and forwarded emails.
Every client names their files differently, and some do not name them at all.
I only learn what is missing when I sit down to book it.
How it looks from your side. Three things change when a client uses Backbone.
01 · Files
Named and filed, the way you asked.
Your client builds the folder tree once, with names and date tokens. Sent invoices, matched receipts and statements are renamed and filed on every export.
- One ZIP with invoices, receipts, statements and an open-items list
- Consistent file names with date and counterparty
- Month, quarter or whole year
02 · Gaps
You see what is missing before you start.
A readiness list shows what is still open for the month: missing statements, payments without a receipt, documents that could not be read, invoices not matched to a payment.
- Your client sees the same list and a hand-over date
- Open items also come in the report
03 · Access
A login of your own, or a link.
Prefer a link? Your client can email you a page with the download and an expiry date. Prefer to look around? The Bookkeeper role gives you a login for the whole workspace.
- The link page shows what is inside and when it expires
- The Bookkeeper role is read-everything, no sales or settings changes
What the Bookkeeper role can do. Everything you need to book, nothing that changes the client's sales.

How a handover works. From the client's invite to your booking, in four steps.
- 1
Your client invites you
They pick the Bookkeeper role and your email. You accept and get a login.
- 2
They keep the books ready
Receipts and statements go in during the month; the readiness list shows what is open.
- 3
You are told or you look
Your client sends the link, or you open the workspace yourself.
- 4
You download and book
One named ZIP with an open-items list, ready to book.
What you get. What the pages behind this one cover.
Or just ask. Your client's AI tool can answer this too.
What is still missing for September at Werkhaus Studio?
- Statements 2 missing
- Payments without a receipt 9
- Could not be read 1 document
That is 4 things left before 15/10/2026. Want the list as a CSV?
What it costs you. Nothing. Your client has a plan, you have a role.
Your clients pay for their workspace; you do not need a plan to be invited. The Bookkeeper role does not use up one of their paid seats, and each workspace has room for one.
BookkeeperInvited by a client
Freefor you and for your client
- For you, not a paid seat for your client
- One per workspace
- Read everything, work on bookkeeping and exports
- No sales or settings changes

Bookkeeper questions
No. Your client invites you to their workspace. The Bookkeeper role is free for them and takes no paid seat.
You can read everything in the workspace, including invoices, quotes, clients, hours and reports. You can match receipts, import statements, mark invoices paid, edit file-name rules and download the export. You cannot create, send or cancel sales documents, or change company settings, the team or the plan.
Each workspace has one Bookkeeper seat. You can be the Bookkeeper in many workspaces with one login.
Sent invoices, matched receipts and statements, in a folder structure and with file names your client set up once, plus a report of what is still open.
Your client can email you a download link instead. The page shows what is inside and when the link expires.
There is no direct export to either yet. The files and the open-items list are ready for any workflow that starts from PDFs and CSV.
Ask your next client to hand over like this.
Opens your own mail app with the link filled in. Nothing is sent by us.
