Clients & projects
One page per client. Rate, budget, projects, hours and invoices, together.
Set the hourly rate, payment terms and monthly budget once. Your team's hours and every invoice then land on the right client without retyping.
7 days free, card required. €0.00 due today.
Four things you set once. Everything else on the page fills itself from your time and invoices.
- 1
Find it by any word.
Add keywords such as a contact's name or a project code. In Time, typing one picks the client.
- 2
Projects, with their hours.
Split a client into projects and see the hours of each. Archive a project when it is done.
- 3
Rate and terms, once.
Hourly rate, payment terms, address, VAT ID and e-invoice format are saved with the client, so a new invoice starts filled in.
- 4
A budget in hours, a retainer in euros.
Set target hours per month and watch the progress in the client list. Hours covered by a retainer are not counted as uninvoiced.
Not every client is a client yet. Pitches, internal work and old clients each have a place.
Pitches
Mark a prospect as Pitch and track the hours you invest in winning it. Pitches have their own tab and budget. Win it, switch it to Active.
Your own agency
Create an Internal client for recruiting, workshops or admin. Its hours are never counted as uninvoiced, so the warnings stay about real work.
Team hours per client
The client page lists the hours of each person, the clients list shows hours this month against the budget, and the open invoice amount turns amber when something is overdue.
Archive, don't delete
Archive a client and nothing more can be logged to it. Existing entries and invoices are kept.
A warning before duplicates
Create a client with a name that already exists and Backbone points it out, so one client doesn't end up with two histories.
Ready for public clients
A field for the Leitweg-ID that German public bodies ask for, and ZUGFeRD e-invoices per client. XRechnung is coming soon.
Client questions
The hourly rate belongs to the client, and its projects use it. If one piece of work has another price, give it its own line on the invoice and change the price there.
Set the monthly retainer and the target hours on the client. Hours that the retainer covers are not counted as uninvoiced, and you can still add them to an invoice when you want to bill them. The retainer itself is usually billed with a recurring invoice.
A prospect you are working for before they have signed. A pitch has its own tab in the client list and its own budget, so the hours you invest are visible. When you win it, change the status to Active.
Each client has a field for the Leitweg-ID that German public bodies ask for, and ZUGFeRD e-invoices are supported. XRechnung, the format many public bodies expect, is coming soon.
Owners and admins see everything. Team members get a reduced view, and you decide per person what else they may see, in Settings › Team.
Yes. Everything on this page also works in Backbone AI and through the connector for Claude and ChatGPT, for example “Add Alpenrad as a pitch.”
