Bookkeeping and AI: how working together changes in DE and AT

AI makes the handover to your bookkeeper faster and cleaner. On your side, AI sorts receipts, prepares the month and answers routine questions before they reach your adviser. On the adviser's side, firm software now has AI assistants too. Both sides work with better-prepared data, and your adviser has more time for actual advice. The best move is a short agreement with your adviser on formats, tools and who checks what.

What changes on your side?

You hand over better-prepared material, and fewer questions travel back and forth.

  • Receipts arrive sorted. AI reads supplier, date, amount and VAT from a receipt, names the file and spots months where a receipt is missing. You check the match; see AI for bookkeeping prep.
  • The month is summarised. A short note with open items, unusual payments and questions goes with the export, in one message.
  • Routine questions get a first answer. "Do I need a receipt for this?" or "Is this a reverse-charge invoice?" can be pre-checked with AI. You go into the conversation well prepared; for anything with consequences, your adviser decides.
  • E-invoices bring structured data. Since 01/01/2025 every business in Germany must be able to receive e-invoices; issuing them to other German businesses becomes mandatory from 2027 or 2028 depending on turnover (e-invoicing in Germany). Structured invoices are easier for AI and software to read than PDFs. Austria has no general B2B e-invoicing duty (as of 08/10/2026, see e-invoicing in Austria).

What changes on the adviser's side?

Firms get their own AI tools, and their time shifts towards checking and advising.

Example from Germany: DATEV, the cooperative behind much of the software German tax firms use, says its AI assistant DATEV Copilot has been available in MyDATEV since May 2026. It drafts texts such as client emails, translates, summarises documents and was built for firms; DATEV states that the professional assessment and decision always stay with the person at the screen (DATEV page, read 08/10/2026). Other firm software in Germany and Austria adds similar functions.

Questions may come back faster and better prepared, and software reads more of what you send first. Clean, consistent data helps both sides.

What does the law reserve for qualified people?

Who may give tax advice to others stays the same with AI.

  • Germany. Under § 2 StBerG, help in tax matters may be provided as a business only by authorised persons; it covers any activity in someone else's affairs that requires a legal assessment of the individual case. Purely mechanical steps in keeping books are not covered, but assigning accounts to receipts (Kontieren) and giving posting instructions are. § 6 (1) No. 1 StBerG lets suitably trained bookkeepers with practical experience set up charts of accounts, post ongoing transactions, run ongoing payroll and file the wage-tax return.
  • Austria. Tax advice is reserved for tax advisers under § 2 WTBG 2017. The Bilanzbuchhaltungsgesetz 2014 (BiBuG) defines three further professions, Bilanzbuchhalter, Buchhalter and Personalverrechner, each with its own scope for bookkeeping and payroll.
  • Your own business. These rules govern who may do this work for others. Keeping and preparing your own books is your own affair, and you remain responsible for them.

An AI tool makes the work easier for you and your adviser: it suggests how to treat an unusual case, and the qualified person decides.

Who is responsible for what?

Each side has its role, and AI does the groundwork for all of them.

WhoResponsible for
YouComplete, correct records; keeping them (DE: § 147 AO, eight years for invoices, ten for books; AT: § 132 BAO, seven years); issued invoices unchanged (DE: § 146 (4) AO)
Your bookkeeperBookkeeping work within their qualification
Your tax adviserTax advice, returns and judgement on individual cases
The AIPrepares everything, you approve

What about confidentiality and data protection?

Both rules affect which AI tools may see your data.

  • Professional secrecy. Tax advisers are bound to confidentiality: in Germany § 203 StGB makes disclosure a criminal offence and allows helpers only as far as necessary; in Austria § 80 WTBG 2017 sets the duty. That is why firms choose carefully which AI tools process client files.
  • GDPR. Your clients' and employees' data in your books is personal data. If an AI provider processes it for you, you need a data processing agreement (Art. 28 GDPR), usually only in business plans, see AI and GDPR.

Ask your adviser which tools they use and how they handle this.

What should you agree with your adviser?

One short conversation covers it:

  1. Format: which export do you want (ZIP folder, CSV, interface), and how should files be named?
  2. Channel: do you have a client portal, or is a download link fine?
  3. Rhythm: monthly, quarterly, and by which day?
  4. AI on my side: is it fine if I pre-sort receipts and pre-assign categories with AI, as suggestions you check?
  5. AI on your side: which AI tools does your firm use with client data, and under what agreement?
  6. Questions: how do you want questions, one list per month or as they come?
  7. Access: would you like your own read access to my bookkeeping, with a limited role?
  8. Corrections: how do we handle a wrong invoice or receipt: correction, cancellation, a note?

Write the answers down. They are the rules an AI needs to prepare your handover the way your adviser wants it. Our handover checklist has the full list for the export itself.

Why this one matters to us

My goal is to optimise and automate back-office tasks so that we founders can focus on what matters most.

Automating back-office work with AI agents and AI integrations is the future – that's why I built Backbone!

Frequently asked questions

Will AI replace my tax adviser?

It makes working together faster. In Germany and Austria tax advice for others is reserved for qualified people; AI speeds up the preparation and sharpens your questions.

May I use AI to prepare my bookkeeping before it goes to my adviser?

Yes, for your own business. You remain responsible for correct records, and your adviser checks what they take over. Tell them which steps AI prepared.

Do I have to tell my tax adviser that I use AI?

There is no general duty, but it helps: they can say which outputs they accept and which they want to check.

Is it a problem if my adviser uses AI with my data?

Ask which tools and which agreements. Advisers are bound to professional secrecy and the GDPR applies; a good firm can explain how both are covered.

Does AI change what I must keep, and for how long?

No. Germany: invoices eight years, books ten (§ 147 AO). Austria: seven years (§ 132 BAO). Who drafted a record does not matter.
