# Backbone

Backbone is the back office, rebuilt: time tracking, invoices, payment reminders, receipts and books in one fast, beautiful app. It works natively with AI, so you can also run it by chat in ChatGPT, Claude, Grok and many more. For freelancers, studios and agencies in Germany and Austria.

## What is Backbone

Backbone is a web app that brings the hours, the invoices, the reminders, the receipts and the month-end export of a small business into one workspace. Every minute tracked lands on a client and a project at the right rate; billable hours become invoice lines; incoming payments close the open invoice and stop its reminders; receipts are matched to the bank or card transaction that paid them; and the month ends with one ZIP for the bookkeeper. Hosted in the EU. The company behind it is Rightstuff Innovations GmbH (Vienna).

## Core features

- Time: timer from the top bar (a Mac menu-bar timer is Coming soon), entries per client and project, weekly targets, budgets per client with a heads-up before they are crossed, roles for the team
- Invoices, quotes and credit notes: add billable hours as lines at the client's rate, edit directly on the page (what you see is the PDF), a payment QR code on every invoice, a check against the mandatory details of §14 UStG before sending, and a PDF that is written once and never changes after sending (GoBD)
- Dunning (Mahnwesen): a schedule you set once (reminder, then firmer notices), your own wording, fees and late-payment interest added automatically, and the chasing stops by itself when the incoming payment is matched
- Receipts and bank statements: upload as PDF, photo or CSV; vendor, date, amount and VAT are read for you; matched to the transaction that paid them; a coverage view shows which month is missing a statement. Bank statements are uploaded for now (manual accounts); automatic bank connections are Coming soon
- Month-end export: a folder tree you design once, consistent file names, one ZIP with invoices, receipts, statements and an open-items report; a Bookkeeper role with view-only access
- Reports: effective hourly rate per client and project, budget against actual hours, utilisation per person (profitability per client is in the Agency plan; see Pricing)
- Billy, our friendly AI ghost: an assistant inside the app, in German and English, that works on your real data (logs time, drafts invoices, answers "who still owes me?")
- Connector for ChatGPT, Claude, Grok and many more (MCP): the same assistant (Billy) powers, set up once in your AI tool. You sign in as yourself, so your role applies, and anything that leaves your workspace, like an invoice or a reminder, waits for your OK. Also usable from Claude Code and other coding tools through MCP.

## Honest scope

- The AI acts when you ask and asks for confirmation before anything is sent or changed in a way that leaves your workspace.
- There is no public API and no command-line tool yet; access for software is through the MCP connector (OAuth). A public API and a CLI are Coming soon.
- Late-payment interest is an estimate based on the statutory rate for the country the invoice was issued in; which national law governs a cross-border claim follows from the contract, so Backbone does not infer it. Outside Germany and Austria it claims no statutory interest.
- Backbone supports Germany and Austria. It is not a US sales-tax product.
- The Mac menu-bar app is Coming soon and will be for time tracking only.

## Pricing

Every new account starts with a 7-day trial: a card is entered at Stripe, 0 EUR is due today, nothing is charged before the trial ends, and you can cancel any time before. All prices include VAT. Billing is monthly or yearly. Yearly billing charges 10 months for 12 (2 months free). Monthly plans can be cancelled monthly; no setup fee, no minimum term.

- Solo: 19 EUR per month, or 190 EUR per year. For freelancers who run the whole business themselves.
- Growth: 29 EUR per month, or 290 EUR per year. For small studios with a team and a handful of retainers.
- Agency: 49 EUR per month, or 490 EUR per year. For agencies that want room for every person and project.

- German default interest (Verzugszinsen): base rate 1.52 % since 1 July 2026, plus 9 percentage points between businesses (§ 288 Abs. 2 BGB) = 10.52 % p.a., or plus 5 points when a consumer is involved (§ 288 Abs. 1 BGB) = 6.52 % p.a. - Austria, from 1 October 2026: a cash receipt also counts as issued when the customer can read it on a device on the spot (§ 132a BAO, BGBl. I Nr. 97/2025). This is a relaxation, not a new duty; no specific form — and no QR code — is prescribed, and the customer keeps the right to a printed receipt up to close of business. - Invoicing from Germany or Austria to a business elsewhere in the EU: no VAT, the invoice carries "Steuerschuldnerschaft des Leistungsempfängers" plus both VAT IDs. The German basis is § 14a Abs. 1 UStG (NOT § 13b, which is the domestic reverse charge); the Austrian basis is § 3a Abs. 6 UStG 1994 with Art. 196 of the VAT Directive. A recapitulative statement (ZM) is due — by the 25th day after the period in Germany, by the end of the following month in Austria.
- Other countries' B2B e-invoicing mandates (Italy SdI/FatturaPA, France since 1 September 2026, Belgium since 1 January 2026, Poland KSeF, Spain Crea y Crece) bind businesses ESTABLISHED in those countries. A German or Austrian supplier without a fixed establishment there is not in scope and may send a PDF.
